Initial Setup

Takes about 5 minutes. Do this first so everything looks professional from day one.

1
Log in to your dashboard
Go to getcontrasync.com/operator and sign in with the email and password you used to sign up.
2
Add your company name and logo
Tap Settings → Branding. Enter your company name exactly how you want clients to see it. Upload your logo (PNG or JPG). This shows up on quotes, invoices, and your client portal.
3
Pick your theme
Still in Branding — choose a color theme that fits your brand. You've got 5 options. Preview them and pick the one that looks most like your business.
4
Set your notification email
Go to Settings → Notifications. This is the email where you'll get alerts when a new lead comes in, a booking is requested, or a client approves a quote. Can be your personal email or a business one — your choice.
5
Update your account name
Go to Settings → Account. Make sure your name and email are correct — clients see this on emails and documents.
💡
Pro tip: Use your real logo, even if it's just a simple one. Contractors who upload a logo get 30% more quote approvals because it looks like a real business — not a side hustle.

Price Book & Margins

Set your rates, markups, and standard line items once — and every quote you build (including AI quotes) uses your actual numbers automatically.

1
Open Settings → Price Book
This is where you store your standard labor rates, common materials, and recurring line items. Think of it as your personal rate card — built once, used on every job.
2
Add your labor rates
Create a line item for each type of labor you bill (e.g. "General Labor — $85/hr", "Lead Carpenter — $110/hr", "Demo — $75/hr"). Set the category to Labor and unit to hour. These show up as options when you build a quote manually.
3
Add your common materials
Add the materials you use on almost every job — lumber, drywall, paint, hardware, etc. Enter your cost price (what you pay at the supply house). Your markup gets added on top when you build a quote.
4
Understand markup vs. margin — they're not the same
Markup is calculated on your cost. Margin is calculated on your sell price.

Example: You pay $100 for materials.
— A 30% markup means you sell it for $130. Your profit is $30.
— A 30% margin means you sell it for $143. Your profit is $43.

Most contractors say "I mark up 30%" but actually mean they want 30% margin. Use margin — it's more accurate to what you actually keep. To hit 30% margin, use a 43% markup.
5
Set your rates in Settings → Pricing Profile
Go to Settings → Pricing and fill in your labor rates and material markup. This is the single most important thing you can do to make the AI quote builder accurate. Once saved, every AI quote uses your exact numbers — not market averages for your area. Fill this in once and your quotes reflect what you actually charge, automatically, on every job.
💡
What margin should you target? A healthy contractor margin is 35–45% gross after materials and labor. If you're below 30%, you're working hard and barely keeping the lights on. Price Book helps you stay disciplined — every quote starts from your real numbers, not a gut feeling.
✅
Quick-start: You don't need to add every material before you start quoting. Start with Settings → Pricing Profile — enter your labor rates and markup. That alone makes every AI quote accurate to your business. Then add your 5–10 most common materials in the Price Book and you'll cover 80% of your jobs right away.

📅

Online Booking

Give clients a link where they can book a time with you — no phone tag, no back-and-forth. You approve every booking before it's confirmed.

1
Add your services
Go to Settings → Booking → Services. Add the types of jobs you take (e.g. "Kitchen Remodel Consult", "Free Estimate", "Handyman Service"). Set a price and how long each one takes. This controls what clients can book.
2
Set your availability
Still in Settings → Booking. Set which days you're available, your hours, and how far out clients can book. There's also a buffer time setting — so you're not double-booked right after a job ends.
3
Get your booking link
Your booking page is live at: getcontrasync.com/book/?tenant=YOUR-SLUG. Copy it and add it to your Instagram bio, Google Business profile, website, and email signature.
4
Confirm or decline bookings
When a client books, you'll get a notification. Go to the Bookings tab and tap Confirm or Decline. The client gets an automatic text and email either way.
💡
Pro tip: Add "Free Estimate" as a service with a 30-minute duration. Then put that booking link everywhere. Let your schedule fill itself while you're on the job.

💳

Get Paid Online

Connect your bank account so clients can pay invoices by card or bank transfer — directly to you. No middleman.

1
Go to Settings → Payments
Tap Connect with Stripe. This opens Stripe's secure onboarding — it's the same payment processor used by Amazon and Shopify. ContraSync never sees your bank details.
2
Fill in your business info
Stripe will ask for your business name, address, SSN (last 4) or EIN, and bank account number for deposits. Takes about 3 minutes. Have your bank routing number handy.
3
You're connected
Once connected, every invoice you send will have a Pay Now button. Clients pay by card or ACH bank transfer. Money lands in your bank account in 1–2 business days. Card payments have a small processing fee (covered by client via surcharge).
✅
ContraSync takes $0 on your payments. You keep 100% minus Stripe's standard processing fee (~2.9% + 30¢ for cards, free for ACH bank transfer).

👤

Clients

Your client list is the foundation of everything — quotes, jobs, and invoices all connect back to a client record.

1
Add your first client
Go to the Clients tab and tap + New Client. Fill in their name, phone, and email. Address is optional but helpful for scheduling. You can also add notes (e.g. "Has a dog, gate code 4512").
2
Clients come in automatically from leads and bookings
When someone fills out your lead form or books online, a client record is created automatically. You don't have to do anything — they're already in your system.
3
View a client's full history
Tap any client name to see all their quotes, jobs, invoices, photos, and change orders in one place. It's like a file folder for each customer.
💡
Pro tip: Add a note to every client right after your first call — what they want, their timeline, their budget range. You'll thank yourself when you're juggling 20 jobs.

📋

Quotes

Build professional estimates in minutes, not hours. Send them as a link — clients approve with one tap. No printing, no PDFs, no email attachments.

1
Create a new quote
Tap + Quote from the dashboard or the Quotes tab. Pick a client, give the job a name, and choose the job type.
2
Try the AI Quote Builder (Pro feature)
Describe the job in plain English — like you'd text a friend — and tap Generate Quote. The AI builds out a full estimate with line items, scope of work, and terms. Takes about 20 seconds. Edit anything you want after.
3
Add line items manually
Prefer to build it yourself? Add line items one by one — labor, materials, subcontractors. Set quantities and unit prices. The total calculates automatically.
4
Send it
Tap Send Quote. The client gets an email and text with a link to view the quote on their phone. No app download, no login needed on their end.
5
Client approves — you get notified
The client taps Approve & Sign on their phone. You get a notification instantly. The quote converts to a job automatically. If they don't respond in 3 or 7 days, ContraSync sends them a follow-up email automatically.
💡
Pro tip: Build your Price Book first (Settings → Price Book). Add your standard labor rates, common materials, and markups. Then the AI quote builder uses your actual numbers — not generic guesses.

🔨

Jobs

Track every job from start to finish. See what's scheduled, what's in progress, and what's waiting on an invoice — all in one pipeline.

1
Create a job
Tap + Job from the dashboard. Link it to a client, give it a name, set a start date, and enter a contract value. You can also create a job directly from an approved quote — it converts automatically.
2
Use the Pipeline view to stay organized
The Jobs tab shows cards for each job — Scheduled, In Progress, Needs Invoice, and Complete. Drag cards between columns as the job moves forward. It's your daily control center.
3
Add phases for bigger jobs
For multi-stage projects (demo, framing, drywall, finish), open the job and add Phases. Track completion percentage per phase. This also drives progress billing — you can invoice after each phase is done.
4
Upload job photos
Inside any job, tap Photos to upload before/during/after shots. Toggle client visibility — mark photos as visible to share them on the client portal, or keep them internal for your records.
5
Mark as complete and invoice
When the job is done, move it to Needs Invoice so you don't forget to bill. Then create an invoice right from the job — all the details are already filled in.
💡
Pro tip: Take a photo before you start every job and one when you're done. If a client ever disputes the work quality, you have timestamped proof stored in the cloud.

💰

Invoices & Getting Paid

Send professional invoices by text or email. Clients pay online — card or bank transfer. Money goes straight to your bank.

1
Create an invoice
Go to the Invoices tab and tap + New Invoice, or create one directly from a job. Pick the client, add line items, set a due date. ContraSync auto-numbers every invoice.
2
Choose your invoice type
ContraSync supports 8 invoice types: Standard, Deposit, Progress Draw, Milestone, Time & Materials, Retainer, Final, and Change Order. Use Progress Draw for multi-phase billing — invoice as each stage completes.
3
Send it
Tap Send Invoice. The client gets a text and email with a link. They see a clean invoice with a Pay Now button — no app, no login, no hassle.
4
Track payment status
The Invoices tab shows every invoice as: Draft, Sent, Viewed, Partial, Paid, or Overdue. Your dashboard shows total outstanding and overdue amounts at a glance.
✅
ACH bank transfer is free for your clients. Recommend it for large invoices — no card fee, and it deposits just as fast. Mention it when you send the invoice.

📝

Change Orders

Scope creep kills profit. Change orders protect you. Any time work goes beyond the original quote — get it in writing and get it signed before you start.

1
Open the job, tap Change Orders
Inside any active job, go to the Change Orders tab. Tap + New Change Order. Describe what's changing and why — extra materials discovered, client added scope, etc.
2
Add the new line items and price
Add the additional labor and materials with costs. The change order shows the original contract amount and the new total so the client sees exactly what changed.
3
Send for signature
Tap Send for Approval. The client gets a link to review and e-sign on their phone. Once they approve, it automatically creates an invoice for the additional amount. Zero back-and-forth.
💡
Golden rule: Never do a dollar of work beyond the original scope without a signed change order. It's not rude — it's professional. Clients who respect your business will respect the process.

👷

Team & Crew

Add your crew members so you can assign them to jobs. They get their own login with limited access — they see their schedule, not your financials.

1
Invite a team member
Go to Settings → Team and tap + Invite. Enter their name, email, phone, and role. Roles: Manager (can do most things), Crew (see assigned jobs only).
2
Assign crew to a job
Open any job and go to the Crew section. Tap Assign and pick from your team list. You can set a lead and additional crew members. They'll see the job on their dashboard when they log in.
3
Track job costs
Inside a job, go to Costs to log actual labor hours and material costs. Compare against the quote to see your real profit margin per job.

📊

Reports

Know your numbers. See exactly what you're earning, which clients are most valuable, and where money is sitting uncollected.

1
Open Reports from the dashboard
Tap the Business Reports button on your dashboard, or navigate to the Reports tab. Everything updates in real time — no exports, no spreadsheets.
2
Revenue & collections
See total revenue by month, outstanding invoices by age (30/60/90+ days), and how much is sitting unpaid. The aging report is your weekly collection checklist.
3
Quote win rate
Track how many quotes you're sending vs. how many are getting approved. If your win rate drops, your pricing or follow-up process needs work.
4
Top clients
See which clients spend the most with you. Focus your referral asks and loyalty perks on these people — they're your best marketing channel.
💡
Pro tip: Check reports every Friday for 5 minutes. Look at: (1) anything 30+ days overdue — follow up today, (2) your quote win rate — is it going up or down?, (3) revenue MTD vs last month. That's your weekly pulse check.
